Team Registration Overview

 

Allow coaches to create their own teams and invite players they know! After a coach registers his team, he’ll have full access to his own team page with the ability to manage his own roster invites. They are even able to enter their own team name!

 

To get started, you will need to create a new Registration Form and make sure to choose the program type as Team Coach Registration- Youth. For more information about creating a new registration, Click Here

Coach Pay vs Player Pay     

When creating the divisions, you can decide who will be paying. In Step 6, there will be an option for Per Player or Per Team. How you set this will determine how the division price is paid. If it is said on Per Player, each player will pay the division price. If it is set on Per Team, the coach will pay the entire division price which will cover the cost of registration for all players registering for his team in the division.

** If Per Team is selected, the Coach will be responsible for payment upon volunteering. The team can not be formed until payment has been made. 

 

When creating the program, you will be able to decide how many people will be allowed on to a team and if you are allowing Free Agents.

Disabling Free Agents

Do you allow free agents to register for your team registration programs? If not, head on over to Step 6 of your program wizard for division set up and click on the Advanced Settings button above each division. Then click on the “Free Agents” tab to disable free agents. This will prevent users from registering for a division without a team code or an invite from a coach. If free agents is turned on (defaulted to be on) then players who register without a team code will need to be assigned to a team by the Administrator.

 

How do I allocate free agents to teams?

Once a player registers as a free agent, they will show up as an unallocated player in the division. To allocate them to a team, Click Here.

Setting Up Min/Max Player Per Team

Limit and require certain numbers of players that can sign up for teams. For example, have teams require at least 12 players, but no more than 15. This will help the coach then know how many players they still need to sign up to hit the minimum. Once the max is reached, additional players can’t register for that team. If the minimum is not met, the admin can always manually re-allocate players between teams.

Restricting the Number of Teams That Can Register

Don’t want more than 10 teams to register for a division? Simply set the maximum number of teams under your advanced division settings. Once that limit is reached, additional teams can’t be formed in that division.

 

 

Once you have set up the program, coaches will be able to go in and register as a volunteer. We recommend adding a Registration Listing Module or  Volunteer Listing Module to your site to help guide volunteers on where to register. 

Steps for Coaches to Register:

Step 1: Go to the Registration listing module or the Volunteer listing module and select the Program/Division you would like to be a coach for. Click “Register Now” (you can also click “Register Now” when you are signed into your account).

Step 2: Create a new account if you have never logged in or log in with existing credentials.

Step 3: Enter your information and continue

Step 4: Select “I am a team coach or other team personnel” from the “Which Best Describes You” pop-up.

Step 5: Confirm the correct Program is selected for which you want to register as a coach for.

Step 6: Confirm the correct Division is selected for which you want to register as a coach for.

Step 7: Select yourself to be the Head Coach

Step 8: Enter your remaining information. This is where you will enter your Team Name.

Step 9: Your team page is created! From here you then can invite players to your team by entering their email address. You can also send payment reminders and pay open invoices for players. This page also tells you how many players have joined your team and what the minimum and maximum players per team are. PLUS, the team code is on this page too. You can pass this code out to anyone who you would like to join your team. When you enter emails on this page, each email will already include the team code.

 

Steps for Users With Team Code/Invite to Register:

Step 1: Click on the “Accept Invite” button from your invitation email or go to the Registration listing module and select the Program/Division you would like to register for. Click “Register Now” (you can also click “Register Now” when you are signed into your account). If you received an email invite, simply click on the link in the email.

Step 2: Create a new account if you have never logged in or log in with existing credentials

Step 3: Enter your information and continue

Step 4: Select “I am a parent or guardian registering a participant” from the “Which Best Describes You” pop-up.

Step 5: Enter the participant’s information

Step 6: Select the Program for which you want to register for (this step will be skipped if you clicked on “Accept Invite” from your invitation email).

Step 7: Confirm the correct Division is selected for which you want to register for.

Step 8: Enter the Team Code (if it isn’t automatically populated) and any additional information required.

Step 9: Pay your invoice and you are all set!

 

Steps for Users Without Team Code/Invite to Register (Free Agents Enabled):

Step 1: Go to the Registration listing module and select the Program/Division you would like to register for. Click “Register Now” (you can also click “Register Now” when you are signed into your account)

Step 2: Create a new account if you have never logged in or log in with existing credentials

Step 3: Enter your information and continue

Step 4: Select “I am a parent or guardian registering a participant” from the “Which Best Describes You” pop-up.

Step 5: Enter the participant’s information

Step 6: Select the Program for which you want to register for.

Step 7: Confirm the correct Division is selected for which you want to register for.

Step 8: If you do not enter a team code and the Admin has “Free Agents” on, then registration can continue as the player will be signed up as a Free Agent. If “Free Agent” is turned off, then the parent will not be able to continue without a team code.

Step 9: Pay your invoice and you are all set!

FAQs for Coaches

Can I pay for players on my team if they didn’t pay in full at checkout?

Yes. Just click on the “Manage” button next to the player on your Manage Roster Invites screen. Then click on ”Pay Now”.

 

Can I pay for my entire team when I create my team as a Head Coach?

Yes! First, The club administrator for you site will need to set this up as a Coach Pay registration form. You just need to click the volunteer option from your My Account screen. Once you enter the team info, you will be prompted to pay.

 

Can I invite additional coaches/team personnel to my team?

Yes! Just like you invited players to the team, you can do the same for coaches/team personnel. Just go to your team page, and select Manage Roster Invites. Send out your roster invites, and you are good to go.

 

How do I update my team page?

What happens if a player loses their team registration email invite?

Easy! The player just needs to ask the coach for the invite code which can be found on their Manger Roster Invites page! Then the player can simply enter the code during the player registration process to join the team.
